THE OPPORTUNITY

Office Administrator / Project Coordinator

 

All Professional Trades Services Inc. is looking for a responsible, organized, results-driven Office Administrator who can take on the responsibilities for front-of-office duties including managing the reception area, providing administrative support to the Regional Manager and Project Coordinators. Ideally, if we feel the individual has met our expectations as an Office Administrator, we would like them to take on more responsibility and operate as a Project Coordinator / Office Administrator. The successful candidate will have excellent communication and organizational skills along with the ability to work independently under minimal supervision to complete all required tasks within a timely manner.

 

 

 

The Responsibilities, Essential Duties and Skills

 

 

Office Administrator

 

  • Managing the schedules and scheduling trades.

 

  • Answering phones.

 

  • Taking messages.

 

  • Filing.

 

  • Faxing.

 

  • Invoicing.

 

  • Data-entry.

 

 

 

Project Coordinator

 

  • Estimating job take-offs.

 

  • Understanding what the requirements of the project are, scheduling trades, ordering products.

 

  • Following up (with above tasks) to ensure quality is achieved in a timely manner.

 

  • Attend job meetings with various stakeholders.

 

  • Solving problems as they arise.

 

  • Ensuring quality control on site.

 

 

 

Skills

 

  • Excellent communication skills (verbal and written). Knowledge of the French language an asset but not required.

 

  • Proficient in Microsoft Office.

 

  • Excellent time-management skills.

 

  • Attention to detail is a must.

 

  • Comfortable working with the public.

 

  • Organized, ability to multitask.

 

  • Experience is preferred but not required – we will provide training.

 

  • Communication; networking, professional communicating, advising, consulting, negotiating, and adjudicating.

 

  • Information handling; processing information in an accurate and timely manner.

 

  • Analysis; planning, projecting outcomes and analyzing information.

 

  • Management; coordinating and organizing, evaluating and supervising.

 

 

 

The Qualifications

 

 

Education

 

  • Degree or Diploma in Project/Construction Management, Administration, Business or equivalent.

 

Languages

 

  • Excellent command of the English language (written and verbal). Knowledge of the French language an asset but not required.

 

Experience

 

  • Experience within the construction industry is an asset.

 

  • Relevant experience in a fast-pace environment, providing a high quality of customer service.

 

  • Ability to organize, prioritize, multitask and work under pressure and tight deadlines.

 

  • Proficient with Microsoft Office applications.

 

  • Ability to be resourceful and solve issues that may arise.

 

 

 

Physical Demands

 

Ability to lift and carry 50 lbs. on a regular basis as required.

 

 

Work Environment

 

The office and job site will be your work environment. On the varying job sites there will be exposure to hazardous materials / conditions. Some of these hazardous materials / conditions include but are not limited to; weather (both hot and cold, varying extreme temperatures), dust, noise, chemicals, equipment, and fumes. Personal protective equipment is mandatory at every designated area.
